Office Administrator and Receptionist
Purpose of the role:
ProProcess, located in Gauteng, is a specialist company that offers modular process solutions to the capital equipment market. We are dedicated to delivering innovative, high-quality modular solutions to our clients across various industries.
We are currently looking for an Office Administrator & Receptionist to stand in for maternity leave cover (6-month contract). The Office and Facilities Administrator is responsible for the company reception duties, general administration for the operations department, procurement of assets and consumables and fleet maintenance and management.

The Office and Facilities Administrator is responsible for the company reception duties, general administration for the operations department, procurement of assets and consumables and fleet maintenance and management.
Key Responsibilities:
Office and Facilities Management
- Supporting a safe, healthy, and conducive working environment.
- Maintaining daily office operations and routines – cleaning, hygiene, pest control, consumables, maintenance & gardening, safety & security.
- Weekly consumables stock count, recording & reporting.
- Reviewing operational processes and making recommendations.
- Contractor SLA adherence – cleaning, hygiene, pest control, maintenance & gardening, safety & security.
- Track vehicle licenses (validity & renewal).
- Track & schedule annual vehicle services.
- Review vehicle usage reports to ensure no misuse of company assets – initiate disciplinary action if necessary.
- Submit purchase order request on instruction of Manager – Office & Facilities.
- Submit invoice for payment once works have been completed and signed off by Manager – Office & Facilities.
- Submit new vendor/supplier applications on request of Manager – Office & Facilities.
- First point of contact of business – ensure guests are welcomed, registered and assisted in an effective, friendly manner
- Ensure reception area is clean, tidy and welcoming
- Answer all telephonic calls and efficiently direct to the relevant recipients.
Qualifications & Experience:
- Grade 12 Matriculation (Requirement)
- 1+ year experience in an administrative front desk environment
- Working knowledge of Microsoft Office (word, excel, outlook)
